EVENTS COORDINATOR

Summary

Position: Events Coordinator

Placement: Managerial

Duration: A term of 3-years.

Strategic goal: One of the key promotional features for the university and its unique educational portfolio is the organisation of events in its annual calendar. The quality and manner in which these are organised and presented must speak to and promote the core faith beliefs and the foundational educational philosophies of the university. The strategic goal for this position, therefore, is to ensure that every event that is organised or co-organised by the university is of quality and at a standard that befits the occasion, and that the university’s ‘whole of life’ vision of education and the key characteristics and principles of its ‘vakamaraqeti na i yau bula’[1] philosophy are factored into the events’ planning and programmes, and are promoted during the staging.

 

 

Key Tasks

  • Responsible for organising and set up of all events of the university, from governance meetings (Vaatele and Uli), commemorative events, graduation, management retreats, open days, independence days, community feasts and dinners, conferences, trainings, reguregu, and any events critical to the life of the university.
  • Develop and establish the university events guidelines on process and procedures, drawn from the university ‘whole of life’ vision of education and its ‘vakamaraqeti’ philosophy. These will be the guidelines that will be used in the preparation, planning and post-event activities.
  • Produce and implement the university’s annual calendar of events, especially those that will help to promote and profile the uniqueness of the university and its learning portfolios.
  • Develop and maintain a network of events sponsors, suppliers and organisation and or institutional support. These are, in particular, university vendors; local, regional and international network of university friends and private sponsors; partner organisations and or institutions at the local, regional and internation levels.
  • Seek sponsorships, if need be, to organise and host events mentioned in (c) above, and to ensure that partnerships and fair promotion is accorded to each of the sponsorship partners.
  • Design and maintain a database of an events calendar, event type, likely participants, list of invitees, and results or outcomes of each event. Such a data base of information is immensely help with the university’s acknowledgment list and partnership strengthening.
  • Update the “news” section of the university website, the PCU social media page, to ensure such news reach stakeholders, partners, and alumnae.
  • Responsible for the safekeeping of all university materials used for and relating to the preparations of university events, such as mats, masi, indigenous treasures such as the iTaukei ‘kamunaga’, Samona ‘ifoga’ and other such wealth hold by Pasifika indigenous communities.
  • Conduct regular scans of local, national and regional events organised and hosted by the university partners or some other organisations, that the PCU can request to participate or be offered a session or sessions in their events programme.
  • Responsible for quarterly inventory and safe storage of all events equipment and kits that belong to the university and report to supervisor.
  • Complete and produce reports when required on the university’s calendar of events, and on its participation in events programmes that are organised and hosted by other organisations.
  • Manage the university events guidelines, and conduct periodic reviews.
  • Perform any other task required by the Manu Folau.
  • Reports to the Manu Folau.

 

Minimum Requirement of Qualification and Experience:

  • Bachelor’s degree in business administration and marketing or in a related field from a reputable institution. A Postgraduate Diploma or Master’s degree in business administration and marketing is strongly preferred.
  • Minimum five (5) years proven experience in business administration, especially in marketing and organisation of promotional/launch events.
  • Minimum of five (5) years in events promotion and marketing.
  • Strong knowledge of events planning and staging.
  • Experience in designing and implementing university event strategies.
  • Excellent communication and interpersonal social skills, and leadership management skills.
  • Strong problem-solving skills and the ability to work independently.
  • Preferred Skills: highly experience in public events coordination; knowledgeable about technical process requirements; and familiar with diversity and inclusion initiatives.

Probationary period:

A six (6) months probationary period applies, and it includes the candidate’s completion of a community cultural immersion programme, and participates as a toloa (student) in the Pasifika Philosophies course and the Leadership and Diplomacy training. A ‘staff competency assessment’ will take place before the six (6) months is over to determine the confirmation of position.

Salary package: $40,000.00 Fiji dollars
